In reality, an exhibition professional is responsible for several crucial service-related elements. Two of the service fundamentals inherent in most events are arranging for accommodations for guests (“housing”) and identifying which guests will be allowed access to which portion of an event (“registration”). Planning must begin early to ensure housing and registration are easily assessed and do not become a hindrance to attending the event. When managed well, housing and registration can enhance an event and create an incentive for future attendance.

Sustainability expectations for exhibitions and events are rising, from attendees and exhibitors to sponsors and host cities. ISO 20121, the international standard for event sustainability management systems, gives organizers a framework to reduce environmental impact, manage waste, and track carbon metrics. But it doesn't update itself. During this session participants will hear directly from Marsha Flanagan, M.Ed., CEM, President and CEO of IAEE, and Julie Kagy, CEM, Executive Director of ESCA, who represent the US exhibitions and events industry on the international committee responsible for ISO 20121 and the event standards coming next. They made sure the standard reflects how exhibitions and events are actually planned, built, and delivered. In this 45-minute webinar, you'll hear how industry professionals contributed to the revision process, what changed in the standard, and why it matters for your organization. You'll leave with practical ways to apply ISO 20121 principles to your own events, whether you're pursuing certification or just starting your sustainability journey.

Win Them, Keep Them: Peer Strategies for Attracting and Retaining Event Clients

For event organizers working outside the association world, whether at an agency, a destination management company, a venue, or your own independent business, client relationships are the lifeblood of the work. Landing new business takes visibility, credibility, and a clear point of difference. Keeping clients year over year takes trust, consistent results, and the ability to show your value long after the event ends. This session is specifically designed for Independent Organizers that do not work for an association.

This session draws on the experience already in the room. Instead of a presentation, it’s a facilitated peer exchange where you, the event professionals in attendance, are the subject matter experts. Together we’ll explore what’s working right now in prospecting and referrals, positioning and pricing, proposals and pitches, onboarding new clients, communication during and between events, demonstrating ROI, and turning one-time projects into multi-year partnerships. We’ll also get candid about the tougher moments: recovering from an event that didn’t go as planned, navigating budget cuts and procurement changes, handling a client contact who leaves, and knowing when a client isn’t the right fit.

Bring a strategy that’s worked for you, a lesson you learned the hard way, or a question you’d like the group’s help with. You’ll walk away with practical ideas to grow your client base, strengthen the relationships you already have, and expand your network of peers.

    Participants will be able to:

    • Identify effective approaches for generating leads and converting prospects into clients
    • Apply peer-tested practices for building loyalty and securing repeat and multi-year business
    • Communicate and document event results in ways that reinforce value to clients
    • Connect with fellow organizers to continue sharing strategies after the session

Registration is capped at 60 participants so make sure to sign up early to reserve your spot!  This session is eligible for 1 clock hour towards their CEM recertification.

Running a great event isn't just about logistics and attendee experience, it's also a financial operation with its own rhythm. This 45-minute session is built for people new to the exhibitions and events industry who don't sit in a finance role but still need to build, manage, or contribute to an event budget. We'll break down how event finances actually work: why costs hit hard and early, why revenue trickles in from multiple directions (booth sales, sponsorships, registration), and why the gap between spending and earning creates a cash flow curve unlike most other businesses. You'll leave with a practical, jargon-free framework for reading a P&L, spotting the difference between fixed and variable venue costs, and understanding why tracking profitability event-by-event, not just annually, it is one of the most important habits in this industry.
